Overview:
We are looking for an experienced and personable Reception Manager to oversee our reception operations and ensure a welcoming, efficient, and professional environment for all visitors and staff. This role offers a blend of in-office and remote work, perfect for someone who thrives in a structured yet flexible setting.

Key Responsibilities:

1. Front Desk Management:

  • Lead and manage daily reception operations, ensuring a high level of customer service for all visitors, calls, and inquiries.
  • Handle check-ins, visitor logs, and access protocols, ensuring security and compliance.
  • Ensure the reception area is organised, welcoming, and reflective of the organisation’s values.

2. Team Leadership:

  • Supervise, train, and support a small team of receptionists and front-office staff.
  • Assign tasks, monitor performance, and conduct regular one-on-one feedback sessions.
  • Coordinate team schedules, approve time off, and oversee day-to-day operations.

3. Administrative Duties:

  • Manage reception communications, including answering calls, handling correspondence, and directing inquiries appropriately.
  • Maintain and update visitor management systems, databases, and contact records.
  • Coordinate office supply orders and maintain inventory for reception and front-office needs.

4. Remote Oversight:

  • Provide remote support and supervision on Fridays, managing any urgent inquiries or administrative needs.
  • Ensure smooth handover of responsibilities for off-site hours and follow up on any pending tasks.

5. Event Support:

  • Assist in organising and coordinating front-office logistics for meetings, events, and other functions.
  • Liaise with the Facilities and Events teams to ensure seamless visitor experiences during high-traffic times.

Your Ideal Background:
The ideal candidate has experience in a similar reception or front-office management role, with excellent people skills, an eye for detail, and a proactive approach to team support. Strong communication, organisational skills, and familiarity with office management software are essential.
