A Personal Assistant is needed to assist the CEO of, a reputable financial planning company based in Westminster, London. The ideal personal assistant will be diligent and skilled enough to contribute significantly to this small, aspirational, and client-focused financial planning firm and establish themselves as a highly valued team member.
Salary and Benefits: up to £35,000 (dependant on experience) + benefits including 25 days’ holiday (increasing with service) + bank holidays + generous employers pension contribution + critical illness cover, income protection benefit, life insurance, company away days etc. We are also happy to facilitate home working for 1 day a week.

Personal Assistant (PA), Responsibilities:
- Diary management to include scheduling client and other professional meetings and calls; internal meetings; and personal meetings and appointments.
- Tracking and preparing claims for the Director’s credit card and cash expenses.
- Transcription of meeting minutes.
- Occasional attendance at client meetings.
- Some personal support e.g. car servicing, family presents and holiday bookings.
- Assisting with day-to-day office administration.
- Booking appointments for the other Financial Planners.
- Email management to include prioritisation, drafting responses and dictation.
- Dealing with regular client correspondence and calls.
- Preparing client letters.
- Making travel and accommodation arrangements.
- Coordinating memberships and client events.
- Ordering and sending client cards and gifts.
- Recording all communications on CRM system.
Personal Assistant (PA), Skills and Experience:
- Significant PA and professional administration experience, ideally gained in a professional services environment.
- A professional manner and a positive attitude, with the ability to work well in a team and independently
- Intelligent, highly numerate and IT literate (MS Office projects, CRM systems etc.), confident with embracing new technology.
- Preferable but not essential – experience in audio dictation.
- Self-motivated and highly proactive with excellent organisational and time management skills and the ability to prioritise and respond efficiently to multiple requests.
- Calm under pressure and energised by a varied and busy working day.
- Exceptional attention to detail, both in the production of documentation and record keeping.
- Experience in diary and email management.
- Excellent communication skills, in writing, on the phone and face to face, with the confidence to communicate effectively at all levels.
